What you will do:
To provide administrative support and delegate management for all project deliverables in the meetings services team, while meeting quality standards, on time and within budget.
Position Summary
Energetic, eager to learn, entry level meeting coordinator to work with the team to implement pharmaceutical and biotech supported programs and activities. These include a variety of in-person and virtual medical education programs such as advisory boards, investigator meetings, and symposia. A comfort level with technology is required. This position includes administrative duties, meeting website management, phone support, and email communications and some travel.
Responsibilities
• Act as main point of contact for all attendee inquiries
• Create, update daily maintenance of program databases
• Create and manage attendee response reports
• Responsible for the creation, customization and configuration of virtual and in-person event registration pages
• Process attendee and faculty expense reimbursements
• For virtual events, provide assistance and guidance with any attendee connection issues, as well as basic technical support during an event
• Generate and download reports: registrant, attendee, polling responses, and Q&A
• For in-person events facilitate attendee Hotel, Air & Ground arrangements
• Create aggregate spend reports according to client compliance regulations
Qualifications and Skills
• Bachelor's degree preferred
• Entry-Level position or some work experience in meetings and events is an advantage
• Solid MS Office Suite skills
• Familiarity with CVENT is a plus
• Ability to handle personal information in a professional manner
• Must be extremely organized and possess superior attention to detail
• Excellent written and verbal communication
• Ability to multi-task, prioritize workload and meet deadlines

Work environment:
Moderate travel (US and International) is required during peak meeting months and may involve weekends.
